COVID-19 Dashboard Metrics for August 23-29

Augsburg’s COVID-19 transmission level remained at level 1 — low transmission — last week. We have followed up with everyone who was identified as a close contact of the new cases.

The Minnesota Department of Health requires 14 days of self-quarantine for anyone who was within 6 feet of someone who tests positive — even if you are wearing a face covering. The amount of time you need to be within 6 feet is very short: a cumulative 15 minutes, which could be over multiple days (e.g., five minutes a day for three days). So, keep yourself safe and reduce potential spread by wearing your face covering AND keeping 6 feet of distance.

The Augsburg COVID-19 Dashboard is updated weekly. The page shows the current percent of cases among the on-campus population and some key actions the university would need to take if cases increase to a moderate level (1% of the on-campus population) in a 2-week period.

Volunteers Needed to Greet Students on First Days of Class

Classes start Wednesday, and we need volunteers to serve as “public health ambassadors” on campus to greet students enrolled in in-person classes during the first week.

Shifts start this Wednesday, Sept. 2, and range from 30 minutes to 2 hours. Some are located outside the entrance to buildings and others are in main open areas.

The volunteers — staff, faculty, students! — will remind students to wear face coverings (we will provide you with some disposable masks to hand out if needed), promote use of the CampusClear screening app (CampusClear.com), and aid students with mobility issues.

Our learning pod consists of eight school aged kids from three families in the Edina Public School district, grades 3-6th. We’re looking for an educator to facilitate enrichment opportunities that spark curiosity and collaboration three afternoons per week within our home beginning mid September (M-W, 1-4p). Payroll Changes – Effective Pay Date 9/11/2020

Dear Staff and Student Employees,

We wish to inform you of some payroll changes that have been made for improving the payroll and timekeeping processes, effective Monday, August 23 (for pay date September 11).

Timesheet Deadlines
● All timesheets must be approved by 12:00 PM on Monday of payroll weeks.
● Supervisors may establish an earlier deadline for staff and student employees.

Time Entry
● Exempt staff must submit a timesheet recording their paid-time off or submit a blank timesheet affirming they did not take time off during the pay period.
● Hourly staff and student employees must accurately record all worked hours in increments of 15 minutes on each day/shift they work, not at the beginning or the end of the pay period.
● All staff must accurately record paid-time off each pay period.
-Exempt staff record time-off in four (4) hour increments*
-Hourly staff record time-off in 15 minute increments

Timesheet Corrections/Changes
● Supervisors should review all timesheets for accuracy before approving.
● If changes are needed, supervisors should “reject” the timesheet.
-The timesheet is returned to the staff/student employee to make changes.
-The staff/student employee must re-submit the corrected timesheet for approval
-Supervisors must approve the corrected timesheet.
● Supervisors should contact payroll to make changes to timesheets only if they have already approved it and changes are needed.

Vacation and Sick Accruals
● Vacation and Sick time will accrue over all 26 pay periods in the payroll year.
● Vacation and sick time earned in the current pay period will be available to use in the following pay period.

New UI (User Interface) and Home Screen of Time Entry System (KRONOS)
● The BACK TO CLASSIC menu on the top right will be removed and the new user interface design (NEW LOOK) will be updated.
● The main screen of the Dashboard will be updated to the Home screen with the widget function.

The COVID-19 pandemic requires us to press pause on City Engagement Day this year, but our commitment to community building is unwavering. Instead of sending hundreds of incoming students out to serve Minneapolis neighborhoods and organizations, we are encouraging students, faculty, and staff to engage with their local communities in ways that are meaningful to them personally.

URGO Federal Work-Study Research Pilot Program

This is a pilot program supporting undergraduate research students through federal work-study funds. We are limiting the number of student researchers supported during the 20-21 academic year to 12 students and funding will be determined by a first-come, first-serve basis. Faculty from any discipline who need assistance with their research from a student are invited to participate in the pilot. An individual faculty member may propose only one student position who will work 5-20 hours per week and no more than their federal work-study allotment. During the 20-21 academic year, the research projects must follow Augsburg’s guidelines regarding Covid-19.

Please note that the student eligibility for federal work-study and the total number of hours must be confirmed by Human Resources after you complete this form. Open until all 12 positions are filled.

If the student will work 100 hours or less total, we recommend applying instead for the URGO Academic Year research grant.

URGO Academic-Year Research Application Available

Each year URGO offers $1,325 research grants for undergraduates who wish to gain research experience with an Augsburg faculty member. These grants require 100 hours of research over the course of the academic year and are a great way to ease into research or to continue work on an existing project.

Grants are awarded on a rolling basis, so student-faculty research teams are encouraged to submit proposals in the fall. The URGO Advisory Committee meets bi-monthly and will begin reviewing proposals September 14th.

More Volunteer Opportunities – Class Ambassadors

We have had such a great response to the dining volunteer ambassador sign-up, and are extremely grateful to all who are helping us ensure our students have the best experience possible as we come back to campus.

We have even more opportunities to volunteer, with these centering on the getting-to-class experience; these will run from Wednesday, 9/2 – Tuesday, 9/8, and have a variety of shifts and locations available. Volunteers will be encouraging our students to wear their face coverings, handing out disposable masks to those who do not have one available, ushering students to the right classrooms, and aiding students with mobility issues.

We encourage you to sign up for as many slots as you would like! Further details are listed within the sign-up sheet.

During Phase 1 of the food service opening, this menu will be served at Nabo as well. You may purchase your meal from Nabo with a meal plan swipe, flex points or credit card. As we progress through the planned phases of service, offerings will be expanded until we reach the traditional service level. There is no time frame attached to the various phases of service. Safety will be used to determine the progression.

Augsburg-Branded Signage and Graphics for COVID-19 Messaging

In partnership with several groups across the university, the Augsburg marketing department is developing a unified set of signage templates and physical distancing markers to provide coronavirus-related health and safety messaging for university properties and settings.

>>> Initial templates are available that allow community members to download signage documents, update the files on their personal computers using word processing software, and print signage using the copy center or an office copier/printer. The marketing department will continue making new templates available as additional needs arise. Current templates include:
– 8 ½ x 11 inch signs

We will not be renewing our subscription to hoonuit (formerly Atomic Learning) which provides online short tutorial videos on many topics including software like Microsoft products. Over the past 2 years usage has declined greatly and Augsburg is not getting enough value from the subscription. Based on current analytics this impact is minimal due to low usage. There’s an abundance of free tutorial videos online now easily found through searching.

We will walk in the footsteps of Malcolm X on our tour of Muslim Harlem as we study the vast diversity of Black Muslim traditions – Nation of Islam, Sunni Black Muslims, West African businesses, and Latinx Muslims of East Harlem. At New York University’s nationally acclaimed Islamic Center, located in the Village, we will observe the Friday prayer in the context of a campus community integrated with its surrounding professional workforce.

Beyond these two sites in Manhattan, we will venture out to Queens, Brooklyn, and the Bronx to learn from organizers and advocates of immigration rights and civil liberties, investigate the process of social disappearance of working class Muslims in the face of gentrification, conduct oral histories as paired researchers across the five boroughs, sit with disciples of a female Sufi master and experience the ambiance of their spiritual practice, visit the museums of Natural History and the Metropolitan Museum of Art to critically compare natural and cultural representation of Islam and Muslims, take a ferry ride to Elis Island, Statue of Liberty, and compare that immigration narrative with the memories of exclusion curated at the Museum of the Chinese in America, and so much more.

Lindell Library’s HeinOnline database just added a collection of governmental and scholarly articles on the COVID-19 pandemic, titled “COVID-19 in America: Response, Issues, and Law”. With this resource, you can:

Find factual information about how COVID-19 has impacted public health, economics, society, and the world;

Peruse hundreds of Congressional Research Service (CRS) and Government Accountability Office (GAO) reports on the various ways COVID-19 has impacted every aspect of life, from testing issues in the medical field to unemployment and economic impact; and

Discover a curated list of relevant scholarly articles and external links to supplement their research.

These reports provide insight into federal response to the pandemic, discussing not only those issues that are highly prevalent in the media (e.g., vaccine development), but also less publicized topics such as the pandemic’s effect on organ donation and transplantation, support for the homeless, and more.

Adhere to Health Guidelines in Social Media

You already know that what you post on social media can impact your reputation, and you probably monitor what you do or say accordingly.

During the pandemic, there’s a new thing to watch out for: photos that don’t reflect physical distancing or the appropriate use of masks. Such photos can go viral, generating negative feedback.

This is especially important for social media posts that represent Augsburg. In order to support students, staff, faculty, and their families, we are following the Minnesota Department of Health’s guidelines for institutions of higher education, as well as Governor Walz’s executive order mandating face coverings in public spaces indoors as well as outdoors where physical distancing cannot be maintained. Photos posted to Augsburg social media accounts or photos that tag Augsburg should reflect these practices.

Please also keep in mind that photos from before the pandemic may be misinterpreted. For now please do not use old photos that show groups of people close together for Augsburg-related communications.

Augsburg’s commitment to community service and engagement is long-standing and deeply held. Since 1992, day undergraduate students have participated in service projects on City Engagement Day, even before they’ve had their first class. The COVID-19 pandemic requires us to press pause on City Engagement Day this year, but our commitment to community building is unwavering. Instead of sending hundreds of incoming students out to serve Minneapolis neighborhoods and organizations, we are encouraging students, faculty, and staff to engage with their local communities in ways that are meaningful to them personally.

For those looking for local options for engagement, Sabo Center staff members have compiled this list of local opportunities for community service. We will update this document as we learn of new opportunities, and we have not vetted every one, so take care in considering COVID-19 safety practices, the organization’s capacity to host groups, and other key questions.

URGO Federal Work-Study Research Pilot Program

This is a pilot program supporting undergraduate research students through federal work-study funds. We are limiting the number of student researchers supported during the 20-21 academic year to 12 students and funding will be determined by a first-come, first-serve basis. Faculty from any discipline who need assistance with their research from a student are invited to participate in the pilot. An individual faculty member may propose only one student position who will work 5-20 hours per week and no more than their federal work-study allotment. During the 20-21 academic year, the research projects must follow Augsburg’s guidelines regarding Covid-19.

Please note that the student eligibility for federal work-study and the total number of hours must be confirmed by Human Resources after you complete this form. Open until all 12 positions are filled.

If the student will work 100 hours or less total, we recommend applying instead for the URGO Academic Year research grant.

URGO Academic-Year Research Application Available

Each year URGO offers $1,325 research grants for undergraduates who wish to gain research experience with an Augsburg faculty member. These grants require 100 hours of research over the course of the academic year and are a great way to ease into research or to continue work on an existing project.

Grants are awarded on a rolling basis, so student-faculty research teams are encouraged to submit proposals in the fall. The URGO Advisory Committee meets bi-monthly and will begin reviewing proposals September 14th.

Critically examine the ways religious faith informs the daily lives and communities of people in Guatemala, especially in their work for a more peaceful and just society. Reflect upon the history of faith and the struggle for peace and justice in Guatemala through the narratives of several spiritually-grounded change agents, and their understanding of vocation.

In partnership with several groups across the university, the Augsburg marketing department is developing a unified set of signage templates and physical distancing markers to provide coronavirus-related health and safety messaging for university properties and settings.

>>> Initial templates are available that allow community members to download signage documents, update the files on their personal computers using word processing software, and print signage using the copy center or an office copier/printer. The marketing department will continue making new templates available as additional needs arise. Current templates include:
– 8 ½ x 11 inch signs

– Room and elevator capacity signs
– Table tents
– Cleaning best practices

Qualtrics Classic Reports Going Away Oct 31, 2020

Qualtrics has informed us that they’re retiring the Classic Reports in favor of the new Advanced Reports. Below is what they have said:

Over the last 24 months, we’ve been working hard to develop an improved and modern reporting experience. The new and improved Advanced Reports experience is now available to all of our customers and offers a number of benefits including: a new simplified user experience, better application performance and increased stability in report generation. You can find out more about the new experience on this support page.

After October 31st, 2020, you will lose access to any reports which were created with Classic Reports, including scheduled emails and public reports. To view Classic Reports in a user account, navigate to the Advanced Reports page (Reports tab > Reports section), click on the name of the advanced report and select View Classic Reports from the dropdown.

COVID-19: Adhere to Health Guidelines in Social Media

You already know that what you post on social media can impact your reputation, and you probably monitor what you do or say accordingly.

During the pandemic, there’s a new thing to watch out for: photos that don’t reflect physical distancing or the appropriate use of masks. Such photos can go viral, generating negative feedback.

This is especially important for social media posts that represent Augsburg. In order to support students, staff, faculty, and their families, we are following the Minnesota Department of Health’s guidelines for institutions of higher education, as well as Governor Walz’s executive order mandating face coverings in public spaces indoors as well as outdoors where physical distancing cannot be maintained. Photos posted to Augsburg social media accounts or photos that tag Augsburg should reflect these practices.

Please also keep in mind that photos from before the pandemic may be misinterpreted. For now please do not use old photos that show groups of people close together for Augsburg-related communications.

The supervisor deadline for timesheet approvals has permanently move to 12:00 PM on Monday during payroll weeks.

Supervisors should work with their respective departments to ensure that staff and student employees submit their timesheets in time for supervisors to meet the new deadline. Supervisors will be approving all timesheets no later than Monday 8/24 at noon. If you do not work tomorrow or over the weekend, submit your timesheet for approval today!

Come practice your Zoom hosting skills. The E-Learning team will be on hand to practice Advanced Zoom hosting skills (e.g., breakout rooms, polling, reactions and participant responses, multiple devices & log-ons, annotation, and screen-sharing) in small groups in breakout rooms. This will be an excellent opportunity to gain experience with these tools in a low-stakes, collegial environment.

This lab add-on to Tech Tune-ups and Tips will take place from 11:30 am – 12:30 pm tomorrow. Checkout the workshop “What’s New in Moodle 2020” from 10 am – 11 am, take a 30 minute break, and then test out your skills during the lab.

Augsburg-owned PCs normally update Windows and Office license information when connected to the on-campus network. In the remote work environment many users are being prompted to activate Windows. Your LFC can help you activate Windows thru a remote assist session.

Please schedule a 15 minute assistance session on your LFC’s calendar to re-Activate Windows. You’ll need to be present to enter your login credentials. Your LFC can also tell you about accessing campus resources remotely over the VPN at this time.

Hoonuit (formerly Atomic Learning) Subscription Ending August 31

We will not be renewing our subscription to hoonuit (formerly Atomic Learning) which provides online short tutorial videos on many topics including software like Microsoft products. Over the past 2 years usage has declined greatly and Augsburg is not getting enough value from the subscription. Based on current analytics this impact is minimal due to low usage. There’s an abundance of free tutorial videos online now easily found through searching.

We will walk in the footsteps of Malcolm X on our tour of Muslim Harlem as we study the vast diversity of Black Muslim traditions – Nation of Islam, Sunni Black Muslims, West African businesses, and Latinx Muslims of East Harlem. At New York University’s nationally acclaimed Islamic Center, located in the Village, we will observe the Friday prayer in the context of a campus community integrated with its surrounding professional workforce.

Beyond these two sites in Manhattan, we will venture out to Queens, Brooklyn, and the Bronx to learn from organizers and advocates of immigration rights and civil liberties, investigate the process of social disappearance of working class Muslims in the face of gentrification, conduct oral histories as paired researchers across the five boroughs, sit with disciples of a female Sufi master and experience the ambiance of their spiritual practice, visit the museums of Natural History and the Metropolitan Museum of Art to critically compare natural and cultural representation of Islam and Muslims, take a ferry ride to Elis Island, Statue of Liberty, and compare that immigration narrative with the memories of exclusion curated at the Museum of the Chinese in America, and so much more.

Important Payroll Change – Monday Timesheet Deadline

The supervisor deadline for timesheet approvals has permanently move to 12:00 PM on Monday during payroll weeks.

Supervisors should work with their respective departments to ensure that staff and student employees submit their timesheets in time for supervisors to meet the new deadline. Supervisors will be approving all timesheets no later than Monday 8/24 at noon.

Face Mask and Hand Sanitizer to be Provided Soon

All students, faculty, and staff in Minneapolis and Rochester soon will receive one face mask. Those in Minneapolis also will receive one personal hand sanitizer in time for the beginning of the fall semester. Hand sanitizer refill stations will be located at Minneapolis campus building entrances. Classes start September 2. Effective July 25, Minnesota Gov. Tim Walz mandated face coverings be worn in all public indoor spaces and indoor businesses, as well as outdoors when physical distancing is not possible to maintain. All students, staff, faculty, and visitors must wear face coverings in any common areas while on Augsburg property. Outdoors, this means anytime you are within 6’ of other people, you must be wearing a face covering. Indoors, this means the only places you may be without a face covering on campus is alone within your personal office (or students within their residential unit), or in dining spaces while eating or drinking. We recommend having multiple face coverings (3-5 or more cloth coverings is ideal) that you keep in convenient places—your car, office, and in your bag/backpack. Using cloth coverings enables you to wash them regularly so you always have a clean face covering available.

Announcing the New Augsburg/Twins Cities Global Harmony Choir

Do you love to sing *a cappella* harmony? Do you love to learn about other cultures via musical encounter? Then the Augsburg/Twin Cities Global Harmony Choir is for you! This year, through a combination of synchronous Zoom instruction and archived digital teaching materials, we will safely prepare a full program of study and performance in community singing traditions from Corsica, Cuba, Iran, Nigeria, the Republic of Georgia, South Africa, Ukraine, and the United States. The magic of the virtual space will enable us to learn directly from culture bearers on both sides of the Atlantic. Augsburg students can join the ATCGHC at no cost through registration in MUS 392. Anyone else in the Metro area may register for a modest fee. Our cumulative study throughout the regular academic year will culminate in concert presentations in April, whether digitally assembled or – medical science permitting – performed in real space-time. This year’s Augsburg/Twin Cities Global Harmony Choir will establish the choir as an ongoing musical community, available to all year after year. Though we begin in the virtual space, we are poised to open up and meet face-to-face as soon as singers can safely gather again. Therefore, our invitation to members from the Metro community extends to anyone who considers that our home-base at Augsburg is a driveable commute for joining rehearsals or performances. Watch our video for detailed information, and share it with anyone you know who might want to use it.

After tomorrow’s Tech Tune-ups and Tips, we will offer a third round of the “Advanced Zooming Lab”.

Come practice your Zoom hosting skills. The E-Learning team will be on hand to practice Advanced Zoom hosting skills (e.g., breakout rooms, polling, reactions and participant responses, multiple devices & log-ons, annotation, and screen-sharing) in small groups in breakout rooms. This will be an excellent opportunity to gain experience with these tools in a low-stakes, collegial environment.

This lab add-on to Tech Tune-ups and Tips will take place from 11:30 am – 12:30 pm tomorrow. Checkout the workshop “What’s New in Moodle 2020” from 10 am – 11 am, take a 30 minute break, and then test out your skills during the lab.

COURSE PURPOSE: Black Minds Matter is a public series that is designed to raise the national consciousness about issues facing Black students in education. The series intentionally addresses the pervasive undervaluing and criminalization of Black minds. Tangible solutions for promoting the learning, development, and success of Black students are offered.

-Identify how assumptions of criminality about Black students are manifested in school, college, and university settings.
-Recognize how socially constructed viewpoints of Black intelligence decenter them as learners in educational institutions.
-Embrace asset-based views of Black students rooted in the concepts of equity-mindedness and institutional responsibility.
-Articulate research-based policies and practices that serve to promote the learning, development, and success of Black students throughout the educational pipeline.
